The problem with online comparisons

Most articles on this topic are written by affiliate marketers or by people who used a tool for a month. This comparison is based on 80+ real automation implementations for businesses across sectors ranging from e-commerce to manufacturing, SaaS to professional services. We've used all three tools — in parallel, on different projects, with teams of different technical levels.

The short answer: it depends. But it depends on specific factors you can assess in 5 minutes. Here they are.

Zapier: when to use it (and when not to)

Zapier is the right tool when: the team has no developers, the automations are simple (2-3 steps, between well-known apps), and you need to be up and running in a few hours. Its interface is the most accessible of the three. Its catalogue of native integrations (6,000+) is the widest. For connecting Gmail to Google Sheets or Typeform to HubSpot, Zapier is unbeatable for simplicity.

Zapier becomes a problem once automations get more complex: elaborate conditional flows, loops, error handling, complex data transformations. And above all, it gets expensive very fast — the "tasks"-based pricing structure penalises businesses with a high volume of automations. At 10,000 tasks/month, Zapier costs 3-5x what Make or n8n would.

Make (formerly Integromat): the sweet spot

Make is the tool we recommend to most small and medium businesses. It combines an accessible visual interface with power that's notably greater than Zapier's for complex flows. Its visual "scenario" model makes the automation logic far clearer than Zapier's linear structure. Error handling, iterators, aggregators, conditional routing — it's all handled visually.

Pricing is based on "operations" (not tasks) and is significantly cheaper than Zapier at medium-high volumes. The base plan at €9/month includes 10,000 operations — enough for most of a small business's automations.

When to choose Make

Automations with more than 3 steps, conditional logic, data handling across multiple systems (CRM + ERP + email), and a team with no dedicated developer. Make is the right choice for 70% of the cases we handle.

n8n: when flexibility is everything

n8n is open source and can be self-hosted — which makes it, at volume, dramatically cheaper (costs are just the server, typically €20-50/month on a VPS). But n8n's real difference from the other two is its technical flexibility: you can write JavaScript/Python directly in the nodes, build custom logic, connect to any API even without a native integration.

n8n does require a minimum of technical skill for setup, hosting and maintenance, though. It's not suited to teams with no technical person at all. It's the right tool when you have very specific automations, high volume, or sensitive data you can't pass through third-party cloud services.

Our practical recommendation

For nearly every small business with no dedicated developer: start with Make. If your automations stay simple and volume is low, consider Zapier purely for integration convenience. If you have a developer or a technical person and your automation volume is high, self-hosted n8n is the most economically scalable choice.
